Building a Bulletproof Sheet Index

Why the index is the backbone of the set

The sheet index is the first page anyone opens and the page every dispute returns to. It is the table of contents, the inventory, and the contract record of what was issued. When the index is right, a reviewer can confirm completeness in seconds. When it drifts out of sync with the actual sheets, every downstream reference becomes suspect.

A bulletproof index does one thing reliably: it matches the set, sheet for sheet, every time the set is issued. That sounds trivial until a project has eleven disciplines and four issue dates. The conventions that make it scale are defined in the National CAD Standard, which governs how sheets are named and ordered across the industry.

Discipline prefixes and a logical order

Sheet numbers begin with a discipline designator — A for architectural, S for structural, M for mechanical, E for electrical, P for plumbing, and so on. Within each discipline, a second character groups sheet types: plans, elevations, sections, details, schedules. The result is a sort order that is predictable to anyone in the building trades, regardless of who drafted it.

A set is only as trustworthy as its index — if the contents page lies, every callout downstream inherits the doubt.

Projects grow. A detail sheet becomes two; a new plan area appears at design development. A good numbering scheme leaves room for that growth without renumbering everything downstream. We leave gaps in the sequence and reserve ranges per sheet type, so an inserted sheet never forces a cascade of renamed references and broken callouts.

Keeping the index in sync at every issue

  1. Generate the index from the model or sheet manager, never by hand-typing.
  2. Lock the discipline order so re-sorts cannot scramble the sequence.
  3. Stamp the issue date and revision on the index itself, not just the sheets.
  4. Run a completeness check: every listed sheet exists, every existing sheet is listed.
  5. Archive each issued index so the record of what was sent is unambiguous.
